Builder invoice higher than the quote: what to check

Building work often changes as it progresses, but the final invoice should still be explainable. Compare the total first, then connect genuine increases to written variations, allowances, quantities or credits.

Start with the overall price

Compare the accepted quote total with the final invoice total, both before tax and after tax. If the totals are equal, there is no overall price increase even when the final invoice uses shorter or bundled wording.

Written variations

Match added amounts to variation documents, approvals or messages. Record the price and scope attached to each variation rather than relying on a general description.

Check 2

Prime cost items and allowances

Check whether an allowance was replaced by an actual purchase price and whether the adjustment is shown clearly, including any agreed margin.

Check 3

Quantities and rates

Compare unit rates, labour hours, measured quantities and progress claims. A familiar item may still have changed in amount.

Deposits and prior payments

Confirm that deposits, progress payments, discounts and credits have been deducted once and in the correct place.

Check 5

Scope wording

Look for omitted, substituted or added work. Treat scope wording as a separate concern unless it also changes the price.

  • Which approved variation supports this increase?
  • How was this allowance adjusted to the final cost?
  • Can you provide the quantity, rate and calculation behind this line?
  • Where have my deposit and progress payments been credited?
  • Does this invoice line refer to work already included in the accepted quote?

Common questions

Does a changed building scope always mean a higher price?

No. The wording may change while the total stays the same. State the total result first, then review scope changes separately.

What documents should I compare?

Use the accepted quote or contract, final invoice, variation approvals, allowance schedules and records of deposits or progress payments.

Should tax be counted as another price difference?

No. Compare the before-tax change first, then show the related tax movement separately so it is not counted twice.
